1   Purpose

The document provides information on the steps being taken by Raccoon Group to process and protect personal data of the candidates acquired during the recruitment process. 

2   Scope

This document applies to all candidates willing to apply to Raccoon Group and take part in the recruitment process.  Raccoon Group is a group of companies that includes Raccoon Technologies Poland s.p.z.o.o and Raccoon Technologies Ukraine LLC.

We are pleased that you want to apply to us. In the following, we would like to explain to you, how we process your personal data, which you transmit to us in the context of the recruitment process.

3  Definitions

Personal data means any information relating to an identified or identifiable natural person (hereinafter „Data Subject“). 

Identifiable Person is a natural person who can be identified directly or indirectly, in particular by assigning an identifier such as a name, an identification number, location data, an online identification or one or more special features that express the physical, physiological, genetic, psychological, economic, cultural or social identity of this natural person. 

Processing means any operation carried out with or without the aid of automated procedures or any such series of operations in connection with personal data, such as the collection, collection, organization, arrangement, storage, adaptation or modification, reading, querying, use, disclosure by transmission, dissemination or any other form of provision, reconciliation or linking, restriction, deletion or destruction. 

Controller is the natural or legal person, authority, institution or other body which alone or together with others decides on the purposes and means of processing personal data. 

The Data Subject is the candidate.

Application Process is the process of collecting and assessing information provided by the candidate willing to apply to Raccoon Group that can include submission of the CV, cover letter, samples of work and other similar documents, filling the required forms and questionnaires, passing job interviews and employment tests, application screenings.

6  Processing

In the context of the Application Process we collect and process personal data transmitted to us by you, including:

  • personal and contact information (name, home and business address, telephone, email addresses, gender, date, and place of birth, citizenship);
  • education, training and employment information (current job position,  language and professional skills, scores in any testings or certifications, professional training,  information about your previous career, educational background);
  • your application picture, portfolios, and samples of work; 
  • other information submitted as part of your application;
  • any other data similar to the categories mentioned above, processed in the context of an Application Process;
  • data collected from the devices you use (cookies, IP addresses, etc).

7   Purpose of Processing 

The purpose of processing is the execution of the Application Process and the selection of the candidate.

8   Legal Basis for Processing

Art. 6(1)(b) GDPR, namely the implementation of pre-contractual measures.

We receive the data from you (including the devices you use). If we do not collect the personal data directly from you, we will also inform you by email from which sources the personal data originates and, if applicable, whether it originates from publicly accessible sources.

7   Recipients of Data

During the application process, data may be transferred to all companies that belong to the Raccoon  Group, service providers, group companies, and affiliated companies. Data will only be passed on to third parties within the legally permissible framework and to the extent necessary for the execution of the application process.

8  Storage Period

We only store your personal data for as long as necessary to achieve the processing purpose, or as long as the storage is subject to a statutory retention period. In case, that we are unable to offer you a position as a result of the application process, we will return your submitted documents to you and delete the data collected in our systems twelve months after completion of the application process.  Data related to successful candidates is stored and processed in accordance with Data Protection Notice for Employees. 

9  Data Protection

Raccoon Group implements appropriate technical and organizational measures to protect Personal Data against unauthorized, accidental or unlawful destruction, loss, alteration, misuse, disclosure or access and against all other unlawful forms of processing. 

10  Your Rights

 You have the right to:

a)  access: you can request information about the processing of your personal data and  receive a copy of such data, 

b) rectify:  where you consider that your data is inaccurate or incomplete, you can request to correct your data,

c) object/object to automatic processing/ limit processing: you can object to processing your data or restrict the processing,

d)  withdraw consent: where you have given your consent for the processing of your data, you have the right to withdraw your consent at any time,

e) data portability: you can receive your personal data and transmit it to another Controller,

f) erase: you can require to delete your personal data (right to be forgotten).

Should your personal data be incomplete, you have the right, taking into account the processing purposes, to complete the data, to have your data deleted or blocked, to have the processing restricted, to object to the processing of your data, to revoke your consent to the processing of your data for the future and to complain to the competent supervisory authority about unauthorized data processing.

Unless expressly stated in the survey, the provision of data is not required or obligatory. Such an obligation may result from legal requirements or contractual regulations.

You can request to erase your data or object to the processing at any time. However, this may result in the failure to continue the Application Process.
